How to Edit a PDF on Mac for Free: Built-In Tools & Workarounds

Learn how to edit, annotate, rearrange, and sign PDF documents on macOS for free using Preview, Quick Look, and private in-browser tools.

Quick Summary

You can edit PDFs on Mac for free without third-party software using macOS Preview. Press Command+Shift+A to reveal the Markup toolbar for adding text, signatures, shapes, and page reorganization.

What You Can and Cannot Edit in macOS Preview

Every Mac running macOS includes Preview, an exceptionally capable PDF and image application. Understanding its capabilities saves you from expensive commercial software subscriptions:

What Preview Does for Free:

  • Add New Text: Place form fill-in text, dates, and explanations anywhere on the document.
  • Annotate & Highlight: Mark up research papers, highlight clauses, and strike through obsolete terms.
  • Draw Shapes & Redact: Draw boxes, arrows, circles, and opaque redaction rectangles over sensitive numbers.
  • Reorder & Delete Pages: Rearrange pages or delete superfluous appendix pages from the sidebar.
  • Sign Documents: Create and store digital signatures using your trackpad, camera, or iPhone screen.

Limitations of Preview:

  • Preview cannot natively reflow or change font kerning in flattened, pre-existing vector text without third-party desktop publishing suites.

Step-by-Step: Editing PDFs with Preview

  1. Open the PDF: Double-click your PDF file to launch it in Preview.
  2. Open the Markup Toolbar: Click the small pen-tip icon in the top toolbar, or press Command + Shift + A.
  3. Add Text: Click the Text (T) button. A text box appears in the center of the page. Type your text and use the A style menu to adjust font family, point size, and color.
  4. Insert Signature: Click the Sign icon, select your stored signature (or create a new one using your trackpad), and position it on the signature line.
  5. Mask Old Text (Free Editing Workaround): To replace obsolete dates or prices, select the Shapes tool, choose a solid rectangle, set the fill color to solid white with zero border, and place it over the old text. Then overlay a new text box.
  6. Save Your Changes: Press Command + S to save your edits directly to the document.
  7. Essential Mac PDF Workflows with WebToolsHub

    For operations beyond basic annotations:

    • Merge Multi-Page Bundles: When combining research reports or receipts, use Merge PDF to assemble multiple documents sequentially.
    • Reduce Email Attachment Size: Mac scanned PDFs often exceed 20 MB. Run them through our private Compress PDF tool to shrink file size while retaining crystal-clear vector text.
